Syncing Opportunities and Invoices with QuickBooks

When using RocketCRM with QuickBooks, it’s important to understand how opportunities, contacts, and invoices are synchronized.

Opportunities and Invoices

  • Multiple Opportunities for the Same Contact
    If you create a second opportunity for the same contact, a new invoice will be generated for that contact in QuickBooks.

  • Zero-Dollar Opportunities
    If an opportunity has a value of $0, QuickBooks will not allow an invoice to be created. In these cases, no invoice will be pushed.

Contact Synchronization

  • Contact Only Option
    If you select “Contact only”, only the contact record will be synchronized to QuickBooks. No invoice will be created.

  • Unique Customer Names
    QuickBooks uses the customer name as the unique identifier. If a customer with the same name already exists, RocketCRM will not attempt to recreate it.

Handling Existing Customers and Invoices

  • New Jobs for Existing Customers
    If a customer already exists in QuickBooks and you create a new opportunity for them, a second invoice will be created under that existing customer.

Activity Logs and Auditing

  • QuickBooks Activity Log in RocketConfig
    The QuickBooks Activity Log displays all customers, invoices, and payments that have been pushed to QuickBooks.

    • This provides a full audit trail of communication between RocketCRM and QuickBooks.

    • You can review customer creation, invoice creation, and payment synchronization in one place.
